Document guide

Plan export documents around the product and destination

The required document set varies by product, processing state, species, origin, destination and contract. Confirm it with the importer, carrier and relevant authorities before dispatch.

01

Core commercial records

Common records include the commercial invoice, packing list and airway bill or bill of lading. Product descriptions, quantities, weights, parties and shipment references should reconcile across documents.

02

Plant-health and origin records

Fresh flowers and some plant products may require a phytosanitary certificate, additional declarations, treatment evidence or a certificate of origin. The exact requirement must be checked for the commodity and destination.

03

Botanical quality records

A specification, certificate of analysis, allergen or microbiological report, pesticide-residue report, safety data sheet or organic transaction certificate may be requested depending on the form and intended use. Only lot-linked documents should support lot claims.

04

Importer responsibilities

The buyer or importer should confirm permits, registrations, admissibility, customs classification, duties, local labelling and clearance arrangements. A marketing page cannot replace a destination authority’s current decision tool.

05

Document-control checklist

Before handover, confirm names and addresses, product identity, lot reference, counts, weights, dates, certificate numbers and any required original or electronic delivery format.
