General Terms of Export
Transparency is the foundation of our trade. Below are the governing conditions for the sale and air-freight of perishable floriculture products from India.

01 Contract Formation
A binding contract is formed only when the Buyer issues a Purchase Order (PO) and VedicRoute Exports issues a corresponding Proforma Invoice (PI) All export transactions, invoices, and foreign currency receipts are executed by X4Cart India Private Limited, India, which is the legal seller and exporter of record..
Note: Verbal agreements via WhatsApp/Phone are not binding until confirmed via official email with a PI number.
02 INCOTERMS® 2020
Given the perishable nature of cut flowers, we operate strictly under the following terms:
- CIP (Carriage and Insurance Paid To): This is our recommended term. VedicRoute manages the flight booking, cold chain to the airport, and insurance. The risk transfers to the buyer when the goods are handed to the airline carrier in India.
- FOB (Free On Board): The buyer manages the flight booking. VedicRoute's responsibility ends once the cargo passes the ship's rail or is handed to the carrier at BOM/BLR airport.
03 Freight & Volumetric Weight
Buyers must understand that Air Freight is charged on the greater of Actual Weight or Volumetric Weight.
The Formula:
Length (cm) x Width (cm) x Height (cm) / 6000
Example: A box of Roses might weigh 12kg physically, but due to thermal insulation dimensions (100x40x30cm), the Volumetric Weight is 20kg. You will be billed for 20kg.
04 Payment Terms
We do not offer open credit to new clients due to the high upfront cost of air freight.
- Orders < $10,000 USD: 100% Advance T/T (Telegraphic Transfer) upon PI issuance.
- Orders > $10,000 USD: 50% Advance, 50% against scan of Airway Bill (AWB) prior to flight departure.
- Letters of Credit (LC): Accepted only for Sea Freight or large contracts, subject to confirmation by a prime Indian bank.
05 Quality Claims & Liability
We guarantee flowers are healthy and pest-free at the time of Phytosanitary Inspection in India. However, the Buyer must acknowledge that flowers are living perishables.
Claim Protocol:
- Claims must be emailed to
claims@vedicroutex.comwithin 24 hours of flight arrival. - Must include photos of: (a) Box Label, (b) Damaged Flowers, (c) Temperature Data Logger Report.
- We are not liable for delays caused by Customs Clearance at the destination.
06 Force Majeure
VedicRoute Exports shall not be liable for failure to deliver caused by events beyond our reasonable control, including but not limited to: Airline flight cancellations, Acts of God (Floods/Cyclones in harvest regions), Strikes, or Government Bans on export.
